Board Positions and Responsibilities

Below is a summary of job responsibilities for each PTA Board Member:

President

  • Plan and prepare agenda for PTA meetings, manage the logistics of PTA meetings, and preside over meetings

  • Plan and prepare agenda for PTA board meetings

  • Co-sign PTA checks and disbursements, and review bank statements

  • Coordinate work of officers and committees

  • Review bank statements monthly and initial

  • Represent the PTA at other external meetings

 

Executive Vice President

  • Assist the President in overseeing all PTA functions and funds

  • Develop and maintain an accurate schedule of all PTA events, and coordinating the schedule with the school administration

  • Recruit and serve as point of contact for all PTA event chairs, and develop and administer standard operating procedures for PTA events

  • Assist the president, and preside when president is absent

 

Secretary

  • Keep an accurate record of the proceedings and operations of the PTA

  • Record minutes of PTA meetings and PTA board meetings

  • Keep secure official, permanent PTA records

  • Maintain bylaws, standing rules, and a membership list

 

Treasurer

  • Make disbursements as authorized and in accordance with the approved budget

  • Maintain accurate records and oversee all aspects of the PTA budget and expenditure of PTA funds

  • Attend one mandatory financial training class instructed by Montgomery county PTA or MD PTA and conform with all legal requirements

  • Submit a written monthly financial report at each meeting of the PTA

  • File all mandatory state and federal filings, including, but not limited to, IRS 990/990 EZ, Charitable Solicitations Forms, and MD personal property tax returns.

  • Have the accounts examined at the close of the fiscal year and upon change of treasurer by an auditor or an auditing committee

 

VP, Diversity and Inclusion

  • Engage all families throughout the school; promote cross cultural awareness; embrace diverse thinking, styles, interests and needs of our school community; and promote inclusive parent advocacy and participation

  • Promote information from MCPS and MCCPTA on cultural events for families.

  • Consider diversity in all senses of the word

 

VP, Communications

  • Publish and distribute weekly online newsletter. 

  • Manage all of the communication channels used by the PTA to alert families in the GPES Community of upcoming PTA sponsored events and initiatives, such as an electronic newsletter, website, social media, listserv and the bulletin board in the GPES lobby.

 

VP, Membership

  • Maintain current list of members in database

  • Ensure that members are set up to receive communications

  • Oversee production of A to Z Directory

  • Oversee the PTA membership and the Rocky Fund Direct Donation Campaign 

 

VP of Fundraising

  • The VP of Fundraising oversees all revenue generation for the PTA outside of the Rocky Fund/membership direct donation campaign, which may include silent auction, spirit wear sales, restaurant fund raisers, and merchant rebate programs.  (Note: each of these programs will each have volunteer co-chairs; the VP of Fundraising works with these co-chairs to support these programs.)

 

Cluster Representative (2)

  • Serve as liaison between the GPES PTA and the rest of the Walter Johnson High School Cluster, and attend monthly cluster meetings

  • Identify opportunity for GPES families to advocate to the Board of Education and County Council on issues concerning our schools including the MCPS capital and operating budgets

  • Report on the activity of the cluster to the GPES PTA at general membership meetings, at board meetings, and via PTA communication channels as needed.

 

Delegate to the Montgomery County Council of PTAs (MCCPTA) General Assembly

  • Attend monthly meetings of the MCCPTA (of which GPESPTA is a local chapter). 

  • Report on MCCPTA activities and opportunites for advocacy

 

At-Large Board Members

  • At-large board members oversee events, committees, and special projects

Committee Chairs

  • Lead efforts on specific areas, such as Diversity & Inclusion, Nominating Committee, Audit Committee, Events Committee.  Other committees may be formed depending on interest.  Committee Chairs participate in PTA Board Meetings.

Event Chairs

  • Lead efforts to organize specific events, such as Back to School Picnic, Scholastic Book Fair, Silent Auction, Staff Appreciation, International Night, Pajama Read Aloud, Spring Fair, etc.  Event Chairs participate in PTA Board Meetings.
